Problem:
A global organization managing recruitment across multiple stakeholders faced significant challenges in Hiring List management due to reliance on shared Excel files and manual processes, resulting in inefficiencies, data inconsistencies, and a lack of governance.
- Hiring data is maintained across multiple shared spreadsheets, leading to version control issues and the absence of a single source of truth
- Unrestricted editing by various teams, causing inconsistencies and a lack of standardization in data
- Inefficient coordination among Talent Management, People Business Partners, and external stakeholders, impacting turnaround times
Approach:
- Structured the Hiring List workflow into 3 layers: Request for Position, Data
- Management and Data Visualization using Microsoft Power BI to design a unified application experience
- Digitized request intake through standardized forms built in Microsoft Forms, ensuring consistent and complete data capture
- Established a centralized data repository using SharePoint lists with role-based access controls to ensure data integrity and governance
- Automated approvals, status updates, and notifications using Power Automate
- Enabled integrated reporting and dashboards in Power BI for real-time visibility and decision-making
Impact:
- Eliminated dependency on Excel-based tracking and email-driven coordination
- Improved data accuracy and consistency through structured inputs and controlled access
- Enhanced visibility into hiring status, progress, and performance metrics
- Reduced manual effort and approval delays through workflow automation
- Strengthened governance with clear role-based responsibilities and access control
- Increased overall efficiency and scalability of the recruitment process
